Mother City Logistics is a Cape Town courier and fulfilment operator handling 300+ active clients across the Western Cape. Their manual WhatsApp-based booking system was buckling under peak-season load.
Mother City Logistics came to us during their busiest quarter. Their ops team was manually confirming every booking over WhatsApp, copying details into a spreadsheet, and chasing invoices by hand. Double-bookings were happening weekly, and invoices were getting lost in chat threads.
The architecture. We engineered a real-time booking portal with a locked-down calendar sync engine at its core. Every slot write goes through an atomic lock — no two clients can claim the same window. The portal sits behind a secure client login, and every booking generates a PayShap payment link + a tax invoice automatically.
The dashboard. Ops gets a unified view: live booking calendar, revenue by client, pending invoices, and courier assignment status — all in one click. The system syncs with their existing accounting tool via a clean API.
The launch. We went from discovery to live in two weeks. The team migrated 320 active clients in a single weekend with zero downtime. Within the first month, double-bookings dropped to zero and invoice-chase WhatsApps effectively stopped.
